Common questions
Should I use webmail or an email client?
Webmail means logging in through a web browser — nothing to set up, works on any device, but more basic. Open it at grid-media.co.uk/webmail or use the webmail link on our website. An email client is an app on your device (Apple Mail, Outlook, the Gmail app). It takes a few minutes to set up per device, then works offline and feels smoother. If you use an email client, choose IMAP rather than POP so all your devices stay in sync.
How do I set up my email on a new phone or computer?

I can receive email but I cannot send. Why?
This is almost always the outgoing (SMTP) settings. Check that your outgoing server requires authentication and uses the correct port with SSL turned on, as shown in our email setup guide. Some mobile networks and office wifi also block sending until you switch network.
What is the difference between a mailbox and an alias?
A mailbox is a real account with its own login and storage, such as you@yourdomain.com. An alias is an extra address that just drops into an existing mailbox — for example info@ and sales@ both landing in the same inbox — with no separate login or storage. Ask us to add either.

The terms that come up most on this topic, in plain English.
- Webmail
- Reading your email through a web browser by logging in to a webmail site. Nothing to set up, works on any device, but you need an internet connection and it is a more basic experience.
- Email client
- An app that manages your email on a device — Apple Mail, Outlook, the Gmail app, and so on. Set up once per device; then it downloads your mail and works offline.
- IMAP
- The recommended way to connect an email client. Your mail stays on the server, so every device shows the same inbox, sent items, and folders in sync.
- POP / POP3
- An older way to connect. It downloads mail to one device and can remove it from the server, so it does not stay in sync across phone and computer. Only use it if you have a specific reason to.
- SMTP
- The setting that lets an email client send outgoing mail. If you can receive but not send, the SMTP (outgoing) settings are usually the cause.
- Mailbox
- A real email account with its own login and storage, such as you@yourdomain.com. Each mailbox is a separate inbox.
- Email alias
- An extra address that delivers into an existing mailbox — for example info@ and sales@ both landing in the same inbox. An alias has no separate login or storage.
